Their immersive tools, trusted by schools and used by thousands of students, cover topics like anatomy, chemistry, science, and carpentry. Since 2007, VIVED Learning has been innovating alongside educators and professionals to deliver curriculum-aligned, hands-on learning experiences.
The Business Challenges
VIVED Learning came to Ollion at a pivotal point in their AI adoption journey. As a leader in interactive 3D learning tools for STEM education, VIVED saw enormous potential in artificial intelligence to streamline development processes, enhance platform performance, and ultimately deliver a better learning experience for students. However, as a smaller organization with limited internal resources for AI enablement, VIVED approached Ollion, their trusted Managed Service Partner to help them navigate the evolving AI ecosystem—particularly with regard to enterprise-grade tooling, integration, governance, and training, before the sprawl of tools became too difficult to reel in.
Together with the VIVED team, we identified several forward-looking use cases that could deliver near-term value while setting the foundation for broader AI adoption:
- VIVED’s top priority was to empower their developers to use Generative AI to improve efficiency, support code documentation, and elevate development quality. However, they were cautious about data security and intellectual property. They needed guidance to ensure that AI-generated outputs remained securely within their environment, were tied to company-owned licenses, and were not exposed through personal or unmanaged accounts.
- In addition, some engineers had already begun experimenting with OpenAI’s GPTs to act as subject matter experts and automation assistants. The head of engineering, for instance, had created custom GPTs under a personal ChatGPT Plus account. The team needed a path forward to consolidate these efforts under a centralized, company-managed ChatGPT Enterprise setup—without losing prior work or limiting functionality.
- Given their primary cloud provider was AWS, VIVED expressed interest in understanding how to integrate OpenAI models—or other foundation models—within their AWS environment. They wanted to assess whether deploying a custom AI platform on AWS could offer both flexibility and tighter integration with their broader development stack.
With multiple use cases spanning infrastructure, engineering, enablement, and strategic planning, VIVED needed a comprehensive, secure, and scalable approach that could unify their experimentation into a cohesive AI platform—and quickly deliver value without overcomplicating the process for a lean team.
The Ollion Solution
To address VIVED’s AI exploration goals, Ollion led a focused, AI Strategy & Advisory engagement designed to deliver both strategic clarity and technical feasibility. From the outset, our collaboration was grounded in aligning generative AI opportunities with VIVED’s real-world business challenges—ensuring that every recommendation was both visionary and executable.
Discovery & Use Case Validation
The engagement began with a cross-functional discovery session involving stakeholders from product, software development, marketing, and executive leadership. This session surfaced multiple areas where GenAI could drive impact—from content generation and search augmentation to internal tooling and API automation.
Ollion helped the VIVED team assess and refine their ideas through a structured lens of feasibility, impact, data readiness, and alignment with company strategy.
Use Case Prioritization & Maturity Assessment
We facilitated a workshop to score and prioritize potential use cases across VIVED’s business units. The output: a clear, phased roadmap of experiments and deployments that balanced short-term wins with long-term capability building.
Vision, Strategy, and Team Enablement
We co-developed a company-wide AI vision statement, which served as both a cultural North Star and a filter for future investment. This was operationalized into a 12-month strategic roadmap that defined:
- Short-term pilots and experimentation
- Mid-term operationalization of key use cases
- Long-term planning for scalability, governance, and internal AI fluency
To support adoption, Ollion delivered a tailored enablement workshop for VIVED’s emerging “AI Champions.” Topics included prompt engineering basics, responsible AI principles, and strategies for cross-functional collaboration.
Technical Architecture & Platform Design
To move from strategy to action, Ollion designed a vendor-agnostic, scalable GenAI enablement platform built on AWS cloud services. This technical foundation was designed to support immediate experimentation and long-term enterprise rollout.
We implemented a standardized access layer via APIs that decouples applications from specific LLMs—eliminating the need to manage multiple vendor-specific interfaces and allowing seamless switching between providers. This abstraction makes it easy for VIVED to test various LLMs based on specific tasks, cost, or performance.
At the core of the platform is Amazon Bedrock, a fully managed AWS service that provides access to models from:
- Anthropic (Claude) – ideal for thoughtful, instruction-following tasks
- AI21 Labs – optimized for creative and narrative generation
- Cohere – powerful for RAG and semantic search capabilities
- Amazon Titan – general-purpose model with AWS-native security and integration
Through a Bedrock Access Gateway, the platform enables VIVED to tap into these models immediately—without needing to build or maintain the underlying infrastructure.
This diagram illustrates the vendor-agnostic access layer and how it abstracts complexity across different LLM providers, enabling secure and seamless integration.
“Once our Amazon Bedrock Access Gateway was set up, we instantly had access to every serverless LLM model available from Bedrock enabling rapid testing and experimentation of many model providers we hadn't taken the time to try. Billing directly through AWS is incredibly convenient and much simpler than managing billing with 10+ separate LLM providers.”

Scalable, Secure Infrastructure
To centralize configurations and models, Ollion used Amazon EFS for persistent shared storage across services. AWS Secrets Manager ensures secure handling of credentials and API keys, helping VIVED meet their internal compliance requirements. The architecture supports rapid integration of new LLM providers, future-proofing the solution and avoiding vendor lock-in.
Observability & Governance Layer
To provide transparency, Ollion integrated Langfuse, a specialized observability tool for LLM workflows. Langfuse gives the VIVED team:
- Real-time logging of user prompts and outputs
- Token-level usage tracking by user or model
- Metrics on response latency, cost, and reliability
- Compliance-level audit trails
“Our LLM usage through Bedrock and directly from providers via their API cost pennies on the dollar compared to maintaining a subscription with the providers. Our first month of LLM usage cost us less than a single ChatGPT Plus subscription.”
- Jordan Kintzle, Director of IT and Senior Frontend Developer
Final Deliverables & Executive Alignment
The engagement wrapped with Ollion implementing AWS Bedrock as a multi-modal Large Language Model Platform that integrated with their existing coding tools to aid VIVED’s developers with delivering code more quickly while adhering to company coding standards. Ollion also produced a customized cost analysis dashboard which would provide near-real time cost usage reporting as different LLM models are utilized. Ollion concluded the engagement by providing VIVED’s team with documentation and training on how to maintain and make improvements to the systems deployed.
Benefits of the integration included reductions in time spent on code review processes, with early metrics indicating a 40% decrease in review times. Furthermore, the elimination of redundant tools and platforms led to cost savings on licensing fees, while the improved collaboration contributed to faster development cycles and increased productivity. This addressed the client’s immediate challenges and also provided a scalable framework for future growth and technical innovation.
By the end of the project, VIVED had a working platform—not just a strategy on paper. Ollion stood up infrastructure and integrated the tools they needed to start coding and scaling AI-powered experiences with confidence.
This approach empowered VIVED to transform their exploratory GenAI ideas into a clear, technically sound, and business-aligned execution plan—equipping them with the tools, infrastructure, and strategic clarity to lead AI innovation within their space.
Working with Ollion was an essential stepping stone in our AI journey. They are more than a vendor; they are a true partner who transformed the overwhelming concept of AI into a tangible toolset for our team. Their experts helped us build a powerful, unified gateway for our developers, and the strategic clarity we've gained is now guiding the next phase of our AI integration. We're now equipped to make smart, data-driven decisions about our future.
